Privacy Policy

Your privacy is very important to us. Accordingly, we have developed this Policy in order for you to understand how we collect, use, communicate and disclose and make use of personal information. The following outlines our privacy policy.

What personal data we collect and why we collect it

Annette’s Preschool is a licensed and registered preschool with Alberta Social Services and as so, is required to collect and manage certain data. We need to know parent’s names, addresses, telephone numbers, and email addresses as well as emergency contact information. We need to know children’s’ full names, addresses and date of birth. This information is stored safely and is inspected by Alberta Social Services when requested during the three yearly inspections.

Annette’s Preschool is required to collect certain details of visitors to our pre-school. We need to know visitor names, telephone numbers, addresses and where appropriate company name. This is in respect of our Health and Safety and Safeguarding Policies.


Any images used on the website have been given prior authorization. Photo Releases are signed prior to any images being used on the website.

Contact forms

Contact data such as name, email and phone numbers are collected in order to answer website user inquiries.  Website backup database program is used to ensure we don’t miss any website inquiries and are erased once user has been contacted.  We DO NOT sell any collected data from our Contact Form.

Application Forms

All paper copies of children enrolled at Annette’s Preschool are kept in an Emergency Binder and in close proximity to Annette Bishop and Raelene McLean at all times for emergency purposes.  Annette Bishop and Raelene McLean are the only ones with access to these files unless in an emergency situation where Annette or Raelene must share this info with emergency personnel.   Information taken from the files about individual children is confidential and apart from archiving, these records remain on site at all times with the exception of field trips were as Annette Bishop or Raelene McLean carry the emergency binder with them. These records are shredded after the retention period (7 years which is regulated by law). Information about individual children is used in certain documents, such as, a daily attendance, medication forms, referrals to external agencies and disclosure forms. These documents include data such as children’s names, date of birth and sometimes address. These records are shredded after the relevant retention period.

Online application forms are backed-up and then downloaded as a paper copy.  Once application form has been downloaded, data is deleted from the website.  No personal data is stored online longer than 7 days.

Who we share your data with

Alberta Social Services comes in and inspects the Preschool books and paperwork three times a year.  They inspect attendance records, emergency contact forms, permission forms, and snack records.   Alberta Social Services is the only agency that sees this data.

How long we retain your data

Contact form information is kept long enough to ensure communication has been made regarding the inquiry.

Application forms: 1) If child applicant is 3 years old, application form will be kept on file (computer) for contacting the following year for the 4 year old program unless directed by applying parent to shred immediately. 2) If the applying parent chooses not to enrol child, forms are shredded immediately or online data is deleted.

All documents for each year… forms, permissions, attendance are kept in a file system in Annette Bishops home for 7 years according to law then shredded.

What rights you have over your data

Parents, visitors and staff can object to Annette’s Preschool processing their data. This means that records can be stored but must not be used in any way, for example reports or for communications, website or social media posts.
